Supplies Specialist SSA




Role Context

  • The Supplies Specialist is responsible for managing and optimizing relationships with third-party fulfilment centre to enhance and devleop the product portfolio to meet existing and future needs, operational efficiency, manage costs, and improve customer satisfaction by effectively coordinating supplier relationships, managing inventory levels, and streamlining the order fulfilment processes.
  • The Supplies Specialist is responsible for aligning inventory items with global standards and best practices, ensuring compliance and quality across all operations. Additionally, the manager will oversee country-specific orders and relationships, fostering strong partnerships to ensure alignment with local market needs.
  • Through collaboration with cross-functional teams, the Supplies Specialist will provide a crucial role in aligning supply chain activities with the organization’s overall business objectives while effectively managing both internal and external stakeholders.

Key Responsibilities

Vendor Management:

  • Establish and maintain strong relationships with third-party fulfilment partners.
  • Negotiate contracts and service level agreements (SLAs) to ensure optimal terms and conditions.

Operational Oversight:

  • Monitor day-to-day operations of third-party fulfilment centres to ensure compliance with company standards and KPIs.
  • Implement best practices to enhance efficiency, accuracy, and speed of order fulfilment.

Performance Measurement:

  • Develop and track metrics to assess fulfilment performance, including order accuracy, cycle time, and inventory management.
  • Conduct regular performance reviews and audits of fulfilment partners to ensure adherence to SLAs.

Cost Management:

  • Analyse fulfilment costs and identify opportunities for cost savings without compromising service quality.
  • Monitor expenditures and budget for third-party fulfilment operations.

Inventory Coordination:

  • Collaborate with third-party partners to manage inventory levels and ensure product availability.
  • Coordinate replenishment strategies to prevent stockouts and optimize inventory turnover.

Process Improvement:

  • Identify and implement process improvements to streamline operations and enhance customer satisfaction.
  • Stay updated on industry trends and technologies to drive innovation in fulfilment practices.

Customer Experience:

  • Work closely with customer service teams to address fulfilment-related issues and enhance the customer experience.
  • Implement feedback mechanisms to continuously improve fulfilment processes based on customer input.

Compliance and Risk Management:

  • Ensure that all fulfilment operations comply with relevant regulations and company policies.
  • Identify potential risks in the fulfilment process and develop mitigation strategies.

Internal and External Stakeholder Management:

  • Collaborate with internal stakeholders, including sales, marketing, and finance, to align fulfilment strategies with business objectives.
  • Build strong relationships with external stakeholders, including third-party logistics providers and other vendors, to foster collaboration and communication.
  • Facilitate regular meetings and updates with stakeholders to ensure alignment and address any challenges or opportunities.

Cross-Functional Collaboration:

  • Communicate effectively with stakeholders to keep them informed of fulfilment operations and challenges.
  • Foster a collaborative environment that encourages input and engagement from all relevant parties.

Minimum Requirements

Education & experience

  • Degree in Supply Chain Management or Business Administration

    Degree or diploma in Procurement Managent an advantage

Expected (Years of) Experience.

  • 6+ years’ experience working in Supply Chain
  • Demonstrated experience/practice in Operations Management.
  • Demonstrated experience/practice in Supplier Relationship Management.
  • Demonstrated experience/practice process optimization.
  • Demonstrated experience/practice in data-driven decisions.
  • Demonstrated experience/practice in cross -functional collaboration.

Skills

  • Understanding of the Logistics business and related contracts
  • Understanding of Financial Principles & Cost Management required.
  • Analytical Skills & Quality Management understanding required.
  • Very good process and system understanding and ability to identify areas of improvement & drive change.
  • Ability to work effectively under pressure in a time-sensitive environment.
  • Strong Communication & Networking skills.
  • High integrity and consistently high performance.
  • Knowledge of sustainability practices and initiatives within a fulfilment context.
