Duties and Responsibilities

Co-ordinate various aspects of the sales action, after a sale has been signed and before billing.
Troubleshoot all aspect of the list below. Offer compensation and any other solution to maximize revenue:
Processing of airtime orders, flightings and audio/assets
Management of logs
Commitments, incentives, discounts, added value, rate changes
Partner station NTR bookings
Preferential spots, features, packages, Unsold Inventory, and live reads
Cancellations
Compensation
Proof of Broadcast
Short deadlines

Work according to procedures and processes put in place by Head of Execution

Generic orders to be processed within 24 hours
Flightings to be actioned within 24 hours
Accuracy
Notes to be placed on orders on TBS to enable continuity of service
All campaign correspondence to be inserted on TBS order
Log management as per standard deadlines and according to Stations programming format
Manage Bulk Volume Incentive commitment deals for your portfolio
Inform AE, PM and Management of possible amendments/cancellations that will affect revenue
Manage proof of broadcast requests. Report back to advertiser/agency with results within 2 working days
Notify Client of compensation due and update compensation status in System within 24 hours
Assist Finance with account queries on your portfolio – 24 hours
Manage short deadlines. Able to multitask and prioritise
Supply Management with Sales figures as set out in Roster
Understand inventory utilisation. Oversold situations to be reported to Head of Execution
Place bookings based on programming format set out by each Station/Channel.
Provide sales recommendation, to advertisers/account managers on campaign buying, optimization of inventory and offering alternatives when needed
Offer alternatives for feature and or Programme Availability
Placement of added value according to advertiser’s campaign objectives within Added value parameters set out in Empowerment Grid.
Allocation of Discounts according to parameters set out in Empowerment Grid
Ensure all admin related functions inter alia log processing, updating of traffic system etc., is managed timeously
Update TBS Stock according to Features list supplied by Station
Update TBS stock for Public Holidays as per format supplied by Station
Communicate with a wide spectrum of people including advertisers, agencies, Mediamark offices in Johannesburg and Cape Town as well as the various Stations within the Mediamark portfolio to ensure smooth execution of campaign.
Liaising closely with advertisers/agencies, account managers, finance, Support Services and Stations on the following:

processing of airtime orders, flightings, and audio/Assets.
commitments, incentives, discounts, added value, rate changes
NTR, creative concepts, preferential spots, features, packages, Unsold inventory, and live reads
cancellations
short deadlines
inventory and management info

Inform Advertiser/Agency off any programming changes that will affect campaign booked and offer alternatives.
Source flighting codes and audio for campaigns booked as per cart report.
Listen to audio and check that audio complies with minimum specifications.
Get approval from Station/Channel on audio/assets that does not comply as per checklist.
Liaise with Traffic staff at Stations with regards to bookings and flightings received after log has been exported to ensure Manual additions/changes are actioned.
All communication to be confirmed in writing for auditing purposes.
Liaise with Station Partners on all elements needed for NTR Projects and Specific Log times required from Stations.
Liaise with Finance on opening of accounts and cash upfront payments
Act as Back up on Portfolio and Logs as per Work allocation Document

Requirements

Education and Training

Marketing experience will be an advantage.
Understanding of Project Management will be beneficial

Knowledge and Experience

Strong administration skills with minimum of 7 years working experience
TBS or Similar system experience an advantage
Computer literacy with proficiency in MS suite (Word, PowerPoint, Excel, Outlook, Teams, SharePoint etc

Exceptional time-management skills and the ability to follow projects through to completion
Ability to execute requests with high speed of implementation and high accuracy at short notice
Proven ability to prioritise and meet all deadlines

Ability to work independently within your portfolio but still function as part of a team
Ability to work under pressure
Extended working hours without remuneration
