Make entries of the truck and tanker documents into an Electronic Document Management System register.
Keep track of renewal of truck & tanker Registrations & Insurance documents as well local government stickers and NUPENG documents.
Prepare and Issue waybills to drivers after obtaining signature of the Fleet Manager.
Record the entries of issue of way bill to driver and obtain their signatures.
Collect the return waybills and verify the customer’s stamp/signature and make entries of the receipt into SAP as well as manual register.
Scan the Return waybills received and send it to Accounts and Sales at Head Office while maintaining a file of photocopies of the waybills for fleet records.
Keep a record of all trucks/trailers Engine Numbers, Chassis Numbers, Tyre serial Numbers and battery Numbers.
Keep custody of all the truck keys and other equipment.
Responsible for preparing hand-over and take-over notes/certificate of the trucks and tankers
Prepare a consolidated report of way bills issued & return bills on a daily basis.
Maintain files on each vehicle, containing all work orders and Road worthiness checks and certificates.
Allots shifts to supervisors after obtaining approval from the Fleet Manager
Ensure the offices are cleaned everyday by the office assistants
Prepare and submit weekly reports and returns to fleet manager.
Prepare a daily consolidated summary of movement of materials and vehicles
Produce fleet productivity and operational efficiency report
Prepare monthly NUPENG payment sheet as per loading report and get approval from fleet manager.
Maintain drivers and office staff daily and monthly timesheet both in hardcopy and excel.
Any other duty that may be assigned by Line Manager.

Qualifications

Bachelors/HND in any discipline.
Minimum of three (3) years’ working experience in document management capacity.
Good knowledge of ERP tool (SAP MM)
Knowledge of Quality and Information Management System.
Experienced in Archives management, master document register, distribution matrix, transmittal and preparing minutes of meetings.
Knowledge of Global Practice Numbering System.
Proficiency in PC skills (including MS Word, Excel)
