Job responsibilities
Office Administration
- Coordinating office activities and operations to secure efficiency and compliance to company policies
- Supervising administrative staff and overseeing responsibilities to ensure performance
- Keeping stock of office supplies and placing orders when necessary
- Developing and improving systems and processes that will improve our capacity to deliver the above.
- Identifying and enforcing appropriate service-level-agreements (SLAs) to enhance the customer experience from the team.
Facilities Management
- Ensuring the smooth running of the offices and Building facilities in general
- Working with the IT team to ensure that all general IT infrastructure and processes are suited to meeting staff needs.
- Ensure adequate security for staff and the firm, in general.
Procurement Management
- Conducting, and coordinating as necessary, procurement monitoring and evaluation of contracts/ payment to vendors and contractors for services with respect to office administration.
- Serving as Secretary to the firm’s Procurement Committee and assisting to develop relevant procurement processes & databases.
Protocol Support
- Managing agendas/travel arrangements/appointments etc. for the Investment Team, Investor Relations Team and other senior members of staff.
- Building and managing relationships with relevant contact persons from the Limited Partners.
Relationship and Events management
- Supporting with all Investor and Investee related occasions requiring event planning, travel and hospitality arrangements.
- Interfacing directly with external stakeholders in support of the Investment team, Investor Relations team or other relevant functions.
Other Ad Hoc and Culture Building Support Services
- Circulating weekly summary of weekly macro-economic updates.
- Developing adequate frameworks to codify and facilitate access to knowledge firmwide.
- Supporting Human Resources with HR administration and regulatory deliverables.
- Assisting colleagues and teams across the firm with knowledge and secretariat support as may be needed
Expected Competences and Attributes
- Proven experience as an office administrator, office assistant or relevant role Outstanding communication and interpersonal abilities
- Excellent organizational and leadership skills
- Familiarity with office management procedures and basic accounting principles
- Excellent knowledge of MS Office and office management software (ERP etc.
